Mission

The Paralegal will manage, coordinate and monitor multiple files for the Legal Department in collaboration with the team, to support different business units of the company. This is a permanent telework position 4 or 5 days a week at the choice of the candidate.

Responsibilities

  • Perform administrative tasks for the department (formatting, editing and proofreading of various contracts, documents, correspondence, preparing expense accounts, filing, opening files, etc.).
  • managing and supporting our E-Billing and electronic matter management system (Legal Tracker), including data entry, importing of electronic documents and status up-dates.
  • Assist in the preparation of various documents, reports, tables or charts, according to internal and external requests.
  • Maintain corporate minute books (annual and occasional resolutions, etc.).
  • Coordinate and assist in the preparation of corporate documents (companies' incorporation, registrations, amending declarations, powers of attorney etc.).
  • Prepare and file annual reports.
  • Assist in the management of the insurance company portfolio (preparation of the insurance applications, issuance of certificates, gathering of required corporate information).
  • Assist in the issuance of performance bonds in relation to bids and projects.
  • Conduct review of standard agreements (non-disclosure, service or consulting agreements).
  • Assist in mergers and acquisition transactions.

Qualifications

  • College diploma (DEP) in administration techniques (with a legal specialty) or similar training.
  • Minimum 3 years of experience as an administrative assistant, legal corporate profile, gained within a law firm or in-house legal department.
  • Fluency in French and English, spoken and written.
  • Knowledge of the Office suite (Word, Excel, Outlook, Visio and PowerPoint).
  • Ability to manage multiple files simultaneously and take initiative.
  • Strong organizational and planning skills and sense of priorities.
  • Methodical, strong analysis and synthesis skills.
  • Attention to detail and rigor.
  • Discretion, reliability and autonomy.
  • Be dynamic and enjoy working in a team.
