About the Role Kinterra is seeking an experienced Office Manager to provide exceptional executive support while overseeing the day-to-day operations of our Toronto office. This is a highly visible, firmwide role that partners closely with multiple senior leaders to ensure seamless administrative operations and an exceptional workplace experience.

The successful candidate will manage complex executive calendars, coordinate meetings and travel, oversee expenses, liaise with office vendors, support facilities management, coordinate employee onboarding, and lead a variety of administrative projects. They will play a key role in maintaining an efficient, professional, and well-organized office environment while enabling senior leadership to operate effectively.

Key Responsibilities:

Senior Leadership Support Provide firmwide administrative support to senior leadership based on business priorities. Manage calendars for selected senior leaders Coordinate internal and external meetings, prepare materials and ensure timely follow-up. Coordinate senior leadership travel, expenses, corporate cards and ad hoc administrative projects.

Travel Coordination Coordinate domestic and international travel for Toronto employees and senior leadership. Coordinate travel for Project Directors and Portfolio Company activities as assigned. Manage flights, accommodation, ground transportation, itineraries, visas and entry requirements. Maintain traveler profiles and preferences and resolve disruptions promptly, including after-hours escalation when required.

Toronto Office Management Coordinate facilities issues, landlord matters, vendors and service contracts. Support office renovation or capital projects. Ensure strong front-of-house, meeting-room, hospitality and workplace standards in partnership with the Administrative Assistant.

Expenses, Administration & People Support Prepare and submit expense reports and support corporate-card administration. Maintain administrative files, records, meeting materials and document formatting. Coordinate administrative procurement and purchase requests. Support employee onboarding, workspaces, equipment, access and departures.

Process Improvement & Team Coverage Maintain SOPs, coverage plans and handover documentation. Participate in Toronto–Dubai handoffs and cross-office coordination. Crosstrain team members and provide backup coverage for critical responsibilities. Identify and implement administrative process improvements and corrective actions. Maintain strict confidentiality and need-to-know discipline.

What you Bring Required: 5+ years of progressive office-management experience. Background in private equity, investment management, financial services, legal or another high-performance professional-services environment. Demonstrated experience managing complex calendars, international travel, expenses and office operations. Exceptional written and verbal communication skills with strong executive presence. High level of professionalism, discretion, judgment and integrity. Ability to work independently, prioritize effectively and manage multiple stakeholders.

Preferred: Experience supporting multiple senior leaders across geographies and time zones. Experience with Board or AGM coordination, investor-facing events or office projects. Exposure to mining, infrastructure or global business environments.
