Administrative Assistant - Enforcement and Legal for provincial regulatory authority client, Downtown Toronto.
Marberg Job Number: 2874. Job Type: Temporary. Initial Term: ASAP for approximately 3 months, with possibility for extension. Existing Vacancy: Yes. Target Compensation: $29.52-$36.90 per hour, according to experience. Regular Work Hours: FULL TIME WORK HOURS – 7.25 work hours per day, not including unpaid 45 minute lunch break, to be worked during regular business hours, Monday to Friday (36.25 work hours per week). Work Location: Hybrid with 2 days per week remote and 3 days onsite at Client's Downtown Toronto office, near TTC, Union and GO stations; on PATH. Onsite work expectations subject always to client business requirements, and may change according to client business need.
Responsibilities Summary: Provide administrative support to the Enforcement and Legal team by coordinating office administration, document processing and correspondence while ensuring accuracy, timeliness and confidentiality.
Provide general administrative and office support for the Enforcement and Legal team. Maintain and update information within the organization's CRM database. Prepare, review and process outgoing correspondence and letters. Verify letters for required signatures and ensure timely mailing and distribution. Organize and maintain administrative records and documentation. Additional administrative responsibilities as required.
Qualifications: Education: Degree or diploma in Law, Business Administration, Public Administration, or applicable combination of work experience and education. Preferred Work Experience: At least approximately 3+ years of progressive, related work experience. Preferred Sector Experience: Legal, Public Sector, Not-for-Profit, or Regulatory experience preferred.
Technical and Language Skills Requirements: Proficiency with Microsoft Office including Excel, Word, Outlook and SharePoint (will be tested). Experience using CRM databases or similar database systems. Strong English communication skills, both written and verbal, including strong business writing skills, excellent spelling, grammar, proofreading and syntax, and polished, professional telephone manners.
Task-Based Qualifications and Additional Attributes: Ability to work under pressure while managing competing priorities. Excellent communication, collaboration and interpersonal skills. Demonstrated ability to work effectively as a collaborative team player. Superior attention to detail, and organized, methodical approach to completion of tasks. Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates. Pleasant and courteous: demonstrated commitment to client service and professional representation of the organization. Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
Additional Requirements: Must be legally entitled to work in Canada, providing satisfactory documentation upon request. Ability to work both remotely and onsite, abiding by organization health and safety policies. Ability to promptly provide a minimum of 2 reasonably recent, qualified employment references upon request who are available to speak with either Marberg or Marberg's client. Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities prior to assignment start. Ability to complete a satisfactory Vulnerable Sector security check, including a Fingerprint Check, prior to assignment start. Please note that Marberg will reimburse for the cost of the Fingerprint Check upon Client request for interview and submission of approved Expense Receipts. Provision of certification of AODA and OHSA online training course completion prior to assignment start. Satisfactory Background Checks, Technical Skills Evaluations, and Employment References as required.
