Position Overview Resumes are being accepted for the temporary position of Court Monitor/Provincial Offences Court Clerk with the Court Services Division of the Legal and Court Services Department. Reporting to the Manager, Court Operations, the Court Monitor/Provincial Offences Court Clerk will focus on quality customer service and continuous improvement processes. Guided by the goals and objectives of the City of Guelph Strategic Plan and committed to the Corporate Values of integrity, service, inclusion, wellness and learning, the candidate will aid in the achievement of the Community Vision – to be the city that makes a difference. Key duties and responsibilities Record proceedings, process court transcript requests, maintain court monitor notes in Liberty system, open and close court, use public address systems, arraign defendants, swear in witnesses, endorse court documents and liaise with all agencies and the public with respect to court operations Host remote ZOOM proceedings, assign co-host abilities Prepare and review Certificates of Offence on Fail to Respond Dockets Carry out administrative support services to the judiciary by answering phones, taking messages and preparing necessary documentation for guilty pleas/re-opening applications, appeals and court orders, including bench warrants and recognizance orders and Part III Intake processes Update court dockets, prepare notices of trial, summonses, probation orders, schedule court cases, complete and enter courtroom utilization into the ICON system Co-ordinate court interpreter services, maintain office supplies, inventory and court records and assist the public with concerns and queries Update and maintain the court calendar, data enter cases for court into the CAMS system, schedule judicial pre-trials as necessary Handle and process court filings such as exhibits, motion and application materials Process payments on the ICON system, prepare daily cash deposits utilizing various ICON screens in reconciling payments, when required Perform other related duties as assigned Qualifications and requirements Experience related to the duties listed above, normally acquired through 1-year post-secondary education in court support, court administration, tribunal, paralegal, or legal office administration or related program. Plus 1 to 2 years’ experience as a Court Reporter/Monitor in a courtroom or tribunal environment. Candidates with an equivalent education and work-related experience may be considered. Excellent oral and written communications skills with the ability to communicate with all levels of staff, stakeholders and the general public Advanced skills in Microsoft Office (Word and Excel) Knowledge of the ICON system Knowledge of the Provincial Offences Act Knowledge of ZOOM software application in virtual courts Strong organizational skills with the ability to work both independently and in a team environment Ability to work well under pressure, complete multiple task assignments and function effectively in a high-volume workplace with time restraints Ability to deal effectively with contentious situations and to exercise discretion, judgment, diplomacy and confidentiality Must obtain a satisfactory Police Records Check Fluency in the French language would be an asset Experience using digital recording would be an asset Hours of work35 hours per week, Monday through Friday between the hours of 8:30 a.m. and 4:30 p.m., with the requirement to extend the workday in order to complete courtroom duties.
