The Corporate Trust Department is a fast-paced, quality and deadline oriented environment, dedicated to servicing our client base to meet and exceed clients' needs. Reporting to the Senior Trust Officer of Corporate Trust Services, the Assistant Trust Officer plays a key role through their support of a team of Trust Officers in the administration of corporate trust and corporate actions mandates. The incumbent will be responsible for contributing to business results through the administration and coordination of day to day client needs and requirements with the opportunity to take on greater client and file responsibility.

Key Accountabilities:

  • Respond to day-to-day requests from clients
  • Working with the responsible Trust Officer, identify and interpret service requirements of clients and coordinate activities with other TSX departments and partners to ensure requirements are met
  • Maintain a diary tracking system to ensure all client stipulations and covenants are met
  • Liaison and coordinate with various departments requesting all client interest funding letters and facilitate client funding
  • Facilitate internal AML KYC procedures for clients including verifying the identity of authorized signatories
  • Prepare annual client audit confirmations
  • Prepare, track and update various department reports
  • Assist with and produce specialized reports for clients
  • Facilitate required mailings for clients
  • Liaison with various departments to facilitate cash and share releases from escrow
  • Set up new accounts, including the preparation of records of trust and diary entries
  • Input and track billing charges for review and approval by the Trust Officers
  • Responsibility for aging receivables, ensuring all appropriate actions are taken by working with AR and following up with clients on the status of their outstanding invoices
  • Ensure compliance with TSX policies, procedures and regulatory requirements
  • Support to the team of Trust Officers by providing assistance with other duties as assigned
  • Responsible for organizing and shipping of files to Iron Mountain

Must Have Skills:

  • Post Secondary education in a relevant field of study or equivalent experience preferably in business administration
  • Minimum 1-3 years of experience in a similar role within the financial services industry
  • Previous experince within corporate actions and trust
  • Strong working knowledge of all Window and Google applications
  • Excellent written and verbal communication skills
  • Flexibility and ability to prioritize and work simultaneously on a wide range of tasks and projects with quick turnaround time
  • Highly organized with strong attention to detail
  • A proactive approach to problem-solving with strong decision-making skills
  • Committed to developing strong relationships with internal and external parties

Nice to haves:

  • Working knowledge of Transtar 5.11 is an asset
