Office Manager | Fredericton

Our Fredericton office has an immediate opening for an Office Manager. This position reports to the

Chief Operation Officer (COO) and oversees 20+ staff to provide support to lawyers, management and staff.

RESPONSIBILITIES

Manages schedules, monitors and approves overtime, attendance, vacation and leaves of absence;

Oversees committees (Health & Safety, Social Committee and Health and Wellness);

Communicates and enforce firm policies. Maintains staff award listing. Conducts regular staff meetings;

Regulates workflow within office and workload of individual staff members;

Responsible for on-boarding and orientation of staff. Participates in the recruitment process;

Responsible to manage and act as liaise between staff and lawyers on performance issues. Provide constructive feedback, coaching and mentoring, conducts annual performance reviews.

Responsible for facilities management, such as painting, repairs, renovations. Plan and manage logistics of office moves, manage and update floor maps. Determines office and workstation allocation. Provides building access and parking assignments. Attend monthly cleaning inspections. Approve service invoices; and

Oversees reception, records management, filing space allocation, file transfers, clean up days and office supply functions. Organize and budget social activities during the year. Other duties as assigned by COO.

QUALIFICATIONS

As this position is part of our management team we require you have 5 plus years of experience in a supervisory role where you had direct reports.

5+ years experience in supervisory role with direct reports is required;

2 - 5 years of experience in a professional service environment;

Completion of post-secondary education, Human Resource Management is an asset;

Excellent proficiency in English, verbal & written communication;

Team oriented and upholds a high level of professionalism and confidentiality;

Exceptional interpersonal skills, relationship builder and friendly demeanor;

Ability to take initiative and problem solve (proactive);

Ability to work independently with minimal supervision;

Ability to multi-task and prioritize in a fast-paced environment; and

Excellent organizational skills along with strong attention to detail.
